Client Care Advisor - Permanent - Evenings - Leeds Birstall Hospital

Main Purpose of the Job

The role is critical to the smooth running of the day surgery and clients first impressions both on the telephone and on visiting the surgery. As part of the client care team you will be responsible for answering all incoming calls, booking appointments and the initial customer & pet greeting.

What your typical day will look like

Your focus is to provide an exceptional service to our clients and the best care possible to their pets - providing a link between clients and the clinical team. Your ability to build strong relationships with our clients, their pets and the practice team will be critical to your success.

You will greet each client and offer support, guidance and expertise, managing payments and future bookings confidently.  Coordinating the smooth running of the day-to-day routines of the practice will be done using our online booking system.

Key Responsibilities

  • Be the interface between the clinical and front of house teams
  • Welcome clients on arrival
  • Manage the appointment book
  • Triage calls and client enquiries
  • Handover between the Client/ Patient and Clinical Team
  • Communicate the treatment costs, and process all payments
  • Discuss finance options, and pet insurance options with the Clients
  • Keep the Clients informed of delays and supervise the client & pet waiting area
  • General cleric duties including filing, photocopying, scanning and faxing
  • Ensure the smooth and effective management of the appointment book
  • Process any insurance claims
Up to 25 hours flexible Monday to Friday 5pm-10pm shifts.
 
 

Person Specification

  • Previous experience of working as part of a team that is committed to providing exceptional service
  • Excellent client care skills, ability to work well under pressure and remain calm, caring and polite at all times
  • Good IT skills, with the ability to learn how to use the Practice Management System
  • Ability to be friendly, positive, professional, empathetic with a caring attitude towards the clients and their pets.
  • Excellent communication and listening skills to understand the client’s needs and concerns
  • Ability to work as part of a team
  • Ability to multi-task during busy times
  • Strong personality with an ability to create a friendly and welcoming atmosphere in the practice
